Notice: We take the security and wellbeing of our users seriously. All users must follow the acceptable use guidelines. Your use of the Platform is a privilege, not a right, and can be revoked if you break the rules.

Terms of Use and Privacy Policy

Welcome to Volunteer Today (Community Involvement Initiative). This document outlines both our Terms of Use and Privacy Policy, which together govern your use of our website, applications, and services (collectively, the Platform). By accessing or using the Platform, you agree to abide by the following terms and understand how your information is collected, used, and protected. To use the Platform, you must be of the age of majority in your province, or have parental / guardian consent if you are a minor (under the age of majority).

1. Accounts and Eligibility

Users are not required to create an account to browse opportunities on our system, but an account must be created in order to register or to perform certain tasks. Some accounts are managed by parents / guardians or educational institutions. These accounts are also subject to the terms and conditions of use in this policy. All registered users (users who have created an account on the Platform) must abide by certain requirements in order to keep their account in good standing. Failure to abide by these conditions may result in account suspension, termination, or a blacklisting of the user’s access to services on the Platform.

As a registered user, you must:

  • Provide accurate and up-to-date information.

  • Keep your login credentials secure.

  • Not impersonate others.

2. Acceptable Use Policy

Your use of the Platform as a registered or non-registered user is subject to agreement to the acceptable use policy outlined below. As a user of the platform, you must not:

  • Use the Platform for any purpose other than the intended use, including for illegal or illicit purposes.

  • Harass, threaten, or abuse any user or employee.

  • Post false, misleading, or inappropriate content, including false registrations.

  • Attempt to hack or disrupt any service on, or adjacent to, the Platform.

Violations of these acceptable use terms may result in the suspension or termination of your account without notice. We reserve the right to audit, modify, withdraw, or terminate registered and non-registered user access to the Platform, in part or in full, for any reason. Additional to these terms, registered users are required to submit up-to-date information to the Platform as soon as it would be reasonably assumed that they could do so, and to ensure participation in opportunities that they have registered for, or de-registration no later than 24 hours prior to the application closing date or the event date (whichever comes first).

3. Content and Data Usage

As a Platform that serves a large number of students, we recognize that our data collection policies must reflect the seriousness with which we take the security and safeguarding of privacy of the students that we serve. We take privacy very seriously. As such, you can report any privacy concerns directly to us by email here.

We collect different types of information from users based on account type (where applicable) and use of the Platform. From students, parents / guardians, and educators, we collect information such as names, email addresses, phone numbers (for identification and account management), school affiliation, parental consent, and other account data. Additional voluntary information may be collected if provided by the user, their account manager (where applicable), or a firm for which they have volunteered or intend to volunteer with. From educators and organizers, we collect the above information where applicable, as well as further contact details and information about firms, organizations, and volunteer opportunities. The Platform automatically collects information from users such as device and browser data, IP addresses, cookies, and limited usage statistics. We do not give away or sell your personal information!

When you upload or submit content, you retain ownership of your data unless otherwise stated, but you grant us a limited license to display, use, or share your content as we deem necessary to operate and promote the Platform, and to share data only with schools, firms, or partners as part of program facilitation, unless:

  • A verified parent / guardian or educator managing your (student, under 18 years) account requests your data, or

  • We are legally required to release data related to your account or activities by a court of law or legal order.

We use your data to allow your access and use of the Platform and to operate and promote the Platform. We use your data to connect volunteers with opportunities, facilitate educational and community programs, verify and track volunteer hours, improve Platform features, and to communicate updates or changes with you. Your data is only shared with third-parties where necessary for program delivery.

3.1 Your Rights to Your Data

You have the right to have your data deleted. Where applicable, you have the right to access or correct your personal data, request deletion of your accounts or records, and withdraw consent at any time. Contact us by email at contact@volunteertoday.ca to exercise your rights as they relate to your data. Volunteer Today reserves the right to retain any personal or account / user data required to operate the service or for record-keeping as necessary. For registered user data, verification of account ownership may be required in order to access or share your data.

3.2. Children’s Privacy

We follow child protection laws. Parental / guardian consent is required for users under 18 years of age. We minimize data collection from minors and only collect data necessary to operate the Platform and provide services to users. Parents / guardians or other users authorized to act on behalf of a user under the age of 18 have the right to request a copy, or the removal of, a child’s data on their behalf, in accordance with our Content & Data Usage policy (§3.1).

4. Third-Party Links

The Platform may contain links to third-party websites and / or services not affiliated with Volunteer Today. We make every effort to ensure that all of the content we provide access to is secure but, since third-party content is not under our control, we make no guarantees regarding the safety, security, or reliability of third-party content. By using the Platform, you agree that we are not responsible for external content or the privacy policies of any third-parties, or any impacts of viewing or accessing third-party content or embeds on or through the Platform. 5. Security Measures

We use secure servers & encryption and rigorous access control to protect your information. Employee accounts are bound by a strict internal confidentiality policy and may not have access to your personal information without the submission of a formal request. No online system is 100% secure, but we take your privacy seriously. If you lose access to your account, believe that your credentials have been compromised, or that someone is impersonating you, it is your responsibility to contact us immediately.

6. Accounts and Registered Users

Your use of the Platform is provided on an as-is basis, in accordance with the terms outlined in this agreement. Registered users are subject to the same terms as un-registered users, with additional responsibilities and caveats, as outlined in these terms. Account creation and access is accessible to everyone, however Volunteer Today may suspend or terminate access at any time, particularly in cases of terms and policy violations, inaccurate or malicious content, security threats or breaches, and for any other reason, without notice.

7. Changes to These Terms or Policies

We may update this document periodically. Continued use of the Platform after changes means you accept the updated terms. We are not required to inform users of changes to our systems or policies related to the use of the Platform. In some cases, where significant changes or updates occur, notifications may be sent via email or alerts on services provided on the Platform. We reserve the right to make changes to these terms of use at any time, without notice. It is your responsibility to stay up-to-date on the contents of this agreement, as your continued use of, or access to, the Platform is dictated by these terms and your use of the Platform means that you agree to these terms.
